Vimeo Migration Checklist

Let’s start with the basics first. Here are a few things you must do to start the migration process to Muvi One.

  • A fully functional Vimeo Account
  • Generate access tokens or API keys on your Vimeo account. Here is how you can do it.
  • Prepare a list of folders to be migrated and get the file ID of the folders. Define entities to migrate.
  • Create a Muvi One account and use its custom migration builder scripts to transfer all your data.

Now we understand that migration simply does not mean the transfer of video files. Here are the entities that will be migrated.

  • Content – Video and audio assets
  • Users – The entire user base available
  • Payment Gateways
  • Configurations and templates

Muvi One offers a complete migration process where all your data and customer base shall be migrated to the new Muvi One CMS interface. In this migration, data will be stored on Muvi’s servers and accessed via Muvi One CMS. There is another way of on-premises migration where Muvi has to manage all the content metadata and artworks, but video/audio would be served from the customer’s own cloud storage via their own CDN.

For the ease of process, let’s assume you need to migrate all your assets in a full-fledged migration to Muvi One.

Vimeo Video Platform Migration Steps

Sounds confusing?

Well, it’s not. Muvi’s team of experts will be there to assist you at every stage of your Vimeo migration journey.  Here is a 6-step process of how your entire content repository will be migrated.

Step 1: Prepare Vimeo Content

Make sure to have a Vimeo Pro subscription and then create a list of all the content and its metadata that you wish to extract from your existing platform. This metadata can include information such as titles, descriptions, tags, categories, etc. Simply prepare a list in a format that Muvi engineers provide you for easier reference.

Step 2: Create A Free Muvi One Account

Step 3: Vimeo Data Sync or Custom Script Generation

The migration process works on folder IDs. What it means is you give us the relevant folder IDs of where your content resides, and Muvi’s team automatically syncs and replicates the entire video structure to your Muvi CMS. Under special cases, where the data to be migrated is not a part of the default configurations, a separate custom script is created to ease the import of content.

This step enables the transfer of all the video and audio assets.

Step 4: User & Metadata Migration

Remember how, in the very first step, you created a list of metadata attributes to be migrated. Muvi’s team now helps you migrate all your metadata, including subtitles, tags, and captions, and link all of those to your new video and audio library. Additionally, all your existing users will also be migrated using CSV or Excel files, and they will be allocated a new default password that can be changed later.

Step 5: Subscriber & Payment Gateway Migration

Since this is critical data, your Vimeo payment gateways must support this. A replica of the plan & subscription will be created in the Muvi Account before migration. A re-authorization will be required from all subscribed users. Muvi will fetch user subscription details with the card authorization token and basic card information.

In terms of payment gateway migration, there are 3 cases for which migration is possible.

    • Same Merchant but Different Vendor: You will be required to cancel all auto subscriptions at the gateway end. Then export the customer list, and then manually put all user information and subscription details into the system.
    • Same Gateway But Different Merchant: Stripe is able to do one-time copies of customer data across accounts, so that customers don’t have to ask their users to re-enter their credit card details when they are migrating to a new account. But charges, invoices, plans, subscriptions, coupons, events, and logs do not get copied over. Only the raw customer objects like email, customer reference id, and card reference id get copied.
    • One Gateway to Another Gateway: If you plan on changing the payment gateway or you are using a gateway that Muvi does not support, you will need to request the existing gateway for the log files. Once Muvi gets the log files, all users and their data can be mapped with the Muvi-supported payment gateway.

Step 6: Migration Testing & Troubleshooting

Once migration is complete, deep testing of all the aspects of the migration is initiated by Muvi’s testing team. A thorough unit, system, volume, and batch application testing is conducted to ensure all data is accurately migrated, secure, and properly located.
